Objectives and Key Results Template (OKR)

Purpose: Align teams on goals and measure outcomes. This Notion template provides a centralized OKR dashboard for all levels – from company-wide objectives down to individual goals – promoting transparency and focus on results.

Structure: Use a Notion database with entries for each Objective and its Key Results. Each Objective page should capture:

  • Objective – a qualitative goal (e.g. “Improve donor retention in 2025”).
  • Key Results – 2-5 quantitative targets that indicate progress (e.g. “Increase donor renewal rate from 50% to 60%”). Emphasize outcome-based KRs over task-based ones, ensuring they measure what is achieved, not just what is done

  • Initiatives/Actions – (optional) link to projects or tasks that will drive each KR (TeamOps suggests distinguishing KRs from the initiatives that achieve them).
  • Owner – who is accountable (executive owners for strategic OKRs, team leads for departmental OKRs, etc.).
  • Timeline and Status – target quarter or year, current progress %, and a color-coded status.

Best Practices: Every OKR should tie into the broader strategy. TeamOps recommends linking OKRs with Key Performance Indicators (KPIs) to ensure measurement clarity – KPIs are the smaller metrics that feed into the bigger objectives. For example, a fundraising team’s KPI (like weekly new donors) should roll up to a quarterly OKR (total funds raised). If an OKR doesn’t improve a core KPI, reconsider it. All OKRs and their progress should be visible across the organization (transparency drives shared purpose). Keep objectives ambitious yet realistic, and review key results regularly (e.g. monthly check-ins) to adjust efforts. At quarter’s end, include a brief OKR retrospective on what went well and lessons learned, reinforcing continuous improvement.
